Break Tasks and Assign Clearly

The best technique to manage time-sensitive projects is to break the tasks into smaller fractions. Once tasks are created, I assign tasks to each individual. The best technique is to maximize the work not done in order to have a clear view of which tasks are pending and who is working on them. My team is always clear on what the tasks assigned to them are and whom to reach out to in case any help is required. In order to do that, I need to understand my team and individuals' capabilities. Assigning the right tasks to the right people has helped me deliver projects well before time. It is always good to plan for contingency and have 10% of the time allocated for the review of outcomes. I keep checking with the team on progress during daily stand-up calls and during informal coffee breaks as well. Always under-promise and over-deliver.

Prioritize and Schedule Milestones

To manage time-sensitive projects and meet deadlines, I usually start by breaking down the project into smaller, manageable tasks. I prioritize these tasks based on their importance and deadline. Creating a detailed schedule with specific milestones helps keep everything on track. Regularly checking in on progress and adjusting the plan as needed ensures that any issues are addressed early. I delegate when I can. Effective communication with the team and stakeholders is crucial to stay aligned and informed. Lastly, I stay flexible and adapt to changes, ensuring that the project stays on course to meet the deadline.

Visualize Early Project Completion

As an office manager in NYC, there are several instances where projects must be done in a timely manner to ensure deadlines are met. One technique I use is to visualize the project being completed earlier than the deadline and how accomplished I will feel once it is done. This causes me to be excited and eager to take on the project. I am a true believer that if I mentally know that I can accomplish the goal successfully and on time, then I will.

Maintain a Prioritized To-Do List

I make a priority to-do list of items I want to get done that day and check it periodically. A good tip that has stuck with me regarding time management is to check off tasks immediately after completing them. This includes moving emails from your inbox right after you read them the first time. This helps me stay focused and have a clean inbox throughout the day. And when I'm working on a project, all relevant emails and information are in that folder – easy to find and with no other distractions! Taking a few minutes at the end of the day to reorganize my to-do list and priorities also helps relieve stress. When I get to my desk in the morning, I can get right to work on that time-sensitive project.

Implement Batch Processing and Focus Days

I use batch processing and focus days at my company. You group similar tasks together and set specific days for each group. For example, do client meetings and administrative tasks on Mondays and Wednesdays, and save Tuesdays and Thursdays for important project work. This method helps me stay focused and get projects done on time.
